Trackr Terms of Service

Last Updated: October 19, 2025

Effective date: November 20, 2025

1. Introduction and Applicability

These Trackr-specific Terms of Service (“Trackr Terms”) govern your use of Trackr, a Discord application provided by NiceBots for invite tracking and management services within Discord servers. These Trackr Terms supplement and incorporate by reference NiceBots’ main Terms of Service available at https://nicebots.xyz/legal/terms (“Main Terms”) and NiceBots’ main Privacy Policy at https://nicebots.xyz/legal/privacy.

By using Trackr, you acknowledge and agree to be bound by these Trackr Terms in addition to all incorporated documents. In the event of any conflict between these Trackr Terms and the Main Terms, these Trackr Terms shall prevail solely with respect to matters specifically addressed herein regarding Trackr’s functionality and operation. For all other matters, including but not limited to payment processing, general liability, dispute resolution, and intellectual property, the Main Terms and other incorporated documents shall govern.

2. Service Description and Functionality

Trackr is a specialized Discord application designed to monitor, track, and analyze the usage of invitation links within Discord servers. The service processes data related to server invitations, including but not limited to the creation, distribution, and redemption of invite codes, as well as associated user join events and patterns. Trackr may offer various tiers of service, including free and premium subscription options, with features and limitations varying by tier as determined by NiceBots at its sole discretion.

3. Authorization and Permissions

By adding Trackr to a Discord server, the Server Administrator explicitly authorizes Trackr to access and process server information necessary for providing invite tracking services. This authorization includes permission to monitor invite creation and usage, track member join events, access server metadata including member counts and server configuration, store historical invite data for analysis purposes, and execute automated actions as configured by authorized users.

The specific Discord permissions required for Trackr’s operation are displayed during the application installation process and may be modified over time to accommodate new features or Discord platform changes. Denial or subsequent revocation of necessary permissions may result in degraded or non-functional service, for which NiceBots assumes no liability. Server Administrators are solely responsible for managing permission grants and understanding the implications of such permissions for their server’s operation.

4. Data Collection and Processing Specific to Trackr

4.1 Invite Tracking Data

Trackr collects and processes specific data related to Discord server invitations, including invite codes and their associated metadata, the Discord user identifiers of invite creators, usage statistics for each tracked invite including redemption counts and timestamps, and patterns of member joins associated with specific invites. This data collection occurs continuously for all tracked invites while Trackr remains active in a server.

4.2 Service Continuity and Data Visibility

Trackr implements a data collection mechanism designed to ensure service continuity and prevent data loss during service transitions or subscription changes. Data collection for tracked invites continues regardless of immediate visibility to users, meaning that certain data may be collected and stored even when not displayed in the user interface. This functionality ensures that historical data remains available should users upgrade their service tier or require data recovery for legitimate service-related purposes.

The visibility of collected data may vary based on your service tier, with premium subscriptions potentially providing access to extended historical data and analytics. NiceBots reserves the right to reveal or make accessible previously collected but non-visible data at its discretion for service-related purposes, including but not limited to resolving payment issues, providing customer support, or facilitating service tier transitions.

4.3 Data Retention Period

Trackr retains all collected invite tracking data for a period of two (2) years following the removal of Trackr from a Discord server or upon receipt of a valid deletion request submitted to hello@nicebots.xyz, whichever occurs first. This retention period applies uniformly to all data categories, regardless of visibility status or service tier at the time of collection. Certain data may be retained beyond this period as required for legal compliance, dispute resolution, or fraud prevention purposes.

5. Automated Actions and User Configuration

Trackr may perform automated actions within Discord servers based on user-defined configurations and rules. Such automated actions may include but are not limited to role assignments based on invite usage, message posting in designated channels, member verification processes, and statistical report generation. Users who configure automated actions bear full responsibility for the proper configuration and consequences of such automations.

NiceBots provides these automation features without warranty and assumes no liability for unintended consequences arising from misconfiguration, Discord API changes affecting automation behavior, or any damages resulting from automated action execution. Users must ensure that configured automations comply with Discord’s Terms of Service and applicable laws. The availability and functionality of automated features may vary by service tier and are subject to change without notice.

6. Server Administrator Responsibilities

Server Administrators who add Trackr to their Discord servers assume specific responsibilities beyond those outlined in the Main Terms. Administrators must inform server members about Trackr’s presence and its data collection activities through appropriate channels such as server rules or announcement channels. Administrators are responsible for ensuring that their use of Trackr complies with applicable data protection laws in their jurisdiction and the jurisdictions of their server members.

Administrators must properly configure Trackr’s features and settings appropriate to their server’s needs and privacy expectations. This includes managing which invites are tracked, configuring appropriate data visibility settings, and ensuring automated actions align with server rules and member expectations. Failure to properly inform members or configure Trackr appropriately does not create liability for NiceBots but may result in service termination at NiceBots’ discretion.

7. Premium Services and Feature Tiers

Trackr may offer premium subscription tiers providing enhanced functionality beyond the free tier of service. Premium features may include but are not limited to extended data retention periods, advanced analytics and reporting capabilities, increased limits on tracked invites, additional automation options, and priority support access. The specific features available at each tier are subject to change at NiceBots’ sole discretion.

Subscription management, billing, pricing, and refund policies for Trackr premium services are governed entirely by NiceBots’ Paid Services Terms. The transition between service tiers, whether upgrading or downgrading, may affect data visibility and feature availability. During downgrades, access to certain previously collected data may be restricted, though data collection may continue for service continuity purposes as described in Section 4.2 of these Trackr Terms.

8. Service-Specific Limitations

In addition to the limitations outlined in the Main Terms, Trackr is subject to specific operational limitations. Trackr’s functionality depends entirely on Discord’s API and infrastructure, and changes to Discord’s platform may affect or eliminate certain Trackr features without notice. Invite tracking accuracy depends on Discord’s data provision and may not capture all edge cases or unusual invitation scenarios.

Historical data reconstruction is limited by Discord’s API constraints and data availability. Certain Discord features or server configurations may interfere with Trackr’s operation. Rate limits imposed by Discord or NiceBots may affect data collection frequency or automation execution speed. These limitations are inherent to the service design and do not constitute service defects or breaches of these terms.

9. Modifications to Trackr Terms

NiceBots reserves the right to modify these Trackr Terms at any time. Modifications will become effective thirty (30) days after posting to https://nicebots.xyz/legal/trackr/terms unless a different effective date is specified. Notice of material changes will be provided through the communication channels specified in the Main Terms. Continued use of Trackr after the effective date of modifications constitutes acceptance of the revised terms.

Users are responsible for regularly reviewing these Trackr Terms for changes. The failure to discontinue use of Trackr after modifications become effective shall be deemed acceptance of such modifications regardless of actual knowledge of the changes.

10. Integration with Main Terms

These Trackr Terms are designed to be read in conjunction with and as a supplement to the Main Terms. All provisions of the Main Terms not specifically addressed or modified herein remain in full force and effect for Trackr users. This includes but is not limited to provisions regarding definitions, intellectual property rights, limitation of liability, indemnification, dispute resolution, and governing law.

Where these Trackr Terms are silent on a matter, the Main Terms shall apply. The definitions, interpretations, and legal frameworks established in the Main Terms are incorporated herein by reference and shall apply to these Trackr Terms unless explicitly stated otherwise.
